Yes. Multi-factor authentication is required on every account - practice admins, providers, and the virtual medical assistants assigned to your team. Authenticator apps (TOTP) and SMS-based codes are both supported, and admins can enforce MFA enrollment for the entire workspace from the security settings tab.

Yes. A Business Associate Agreement is signed with every practice before the dashboard is activated, at no extra charge. The BAA covers all virtual staff assigned to your account, the dashboard infrastructure, and any subcontracted infrastructure providers - and it can be countersigned electronically inside the dashboard during onboarding.

Virtual staff clock in and out from the dashboard, and admins see live timesheets with task-level notes throughout the week. Hours roll up into a weekly invoice you can review line by line, adjust if needed, and approve with one click. Approved invoices are charged via ACH or card and every action is recorded in the audit log.

Open the assigned staff card in the dashboard and click "Request a replacement." Your Customer Success Manager receives the request immediately, sends you 1–3 new specialty-matched candidates within 24 hours, and the new placement typically goes live the same week. Replacements are included at no additional charge under our same-week replacement guarantee.

Yes. Multi-location groups, MSOs, and DSOs use one parent account with site-level workspaces underneath. Each site has its own roster, hours, and invoices, while leadership sees consolidated utilization, QA, and spend across every location. Site-level chargebacks and SSO are available on the enterprise plan.
